Resigning from any job can be a challenge – you’re leaving behind a job role you know inside out and the friends you’ve made in colleagues. For many, writing a considerate resignation letter can also be challenging.
You don’t want to burn bridges on your departure and it’s important to keep professional and strong connections throughout your working life as you never know when you may need them. This is why planning your letter of resignation is recommended, even if you’ve discussed your leaving with your boss already.
Do I have to write a resignation letter by law?
In the UK, by law you don’t have to write a letter of resignation, however, you should check your contract as this will provide details of what is expected if you want to leave your role. In general, a resignation letter is highly recommended to show respect and good wishes towards the company and staff you’re leaving and make your resignation formal.
How to write a resignation letter
First you need to have an idea of what you want to say or make notes. Think about the reason you’re leaving and why the job you’re going to is a good opportunity. If you feel the need to get negative things about the company you’re leaving off your chest, it’s in your best interests to avoid this and be kind and well-mannered.
Although every resignation letter should be unique to each individual, here are some key pointers and steps to follow
- Add the date the letter was written and address your line manager.Open with a friendly but formal tone, such as: “I would like to inform you of my resignation from the position of (insert job title), effective from (insert date).
- Include a sincere thank you for the opportunities you have had in your current role and how you are grateful for any particular support you received.
- It isn’t necessary to give reason, however you can add why you are choosing to resign such as: moving away, a new job role or personal matters.
- If you are in a difficult role to fill, make it clear you are willing to help out during any transitional period, for example: “If I can help with the transition of any duties to ensure a smooth departure, please let me know.”
- Wrap the letter up with a kind note such as a final thank you, appreciation for close relationships you may have had with colleagues and your best wishes to the company.
